nominaHQ vs Excel

Panama payroll · updated June 2026

Almost every company starts running payroll in Excel. It works — until you grow, the law changes, or a CSS audit arrives. A spreadsheet isn't bad; it just wasn't built for Panama payroll. Here's what changes with nominaHQ.

The real cost of an Excel error

The risk of a spreadsheet isn't the time — it's the fine. An out-of-date CSS rate, a mis-prorated décimo, or a SIPE that doesn't reconcile can cost far more than a subscription. nominaHQ computes with current law so that error never happens.

What about my current data?

You don't start from scratch. You can move your employees and accruals from your spreadsheet into nominaHQ and run in parallel the first month to compare. We guide you through the migration from Excel.

Frequently asked questions

Why can't Excel generate the CSS SIPE file?
The SIPE is a specifically formatted file the Caja de Seguro Social requires to file payroll; a spreadsheet can't produce it because it doesn't apply the employee/employer contributions (9.75% employee and 13.25% employer) or build the file structure. nominaHQ generates it ready to upload to the CSS system in one click.
What typical Excel errors end in CSS or DGI fines?
The most common are an out-of-date CSS rate, failing to apply the special décimo rates (7.25% employee and 10.75% employer, with no seguro educativo), or a miscalculated income-tax bracket: exempt up to $11,000, 15% from $11,000 to $50,000, and 25% above. Any of these throws off the SIPE and risks penalties; nominaHQ computes with current law to prevent it.
Why does a spreadsheet stop working as the company grows?
Every new employee is another row of fragile formulas, and calculations like the décimo (1/12 of earnings, in installments on 15 April, August and December) or vacations (one day per 11 worked) become impossible to audit by hand. nominaHQ scales from 1 to hundreds of employees and several companies with no rewrites.
Can I try nominaHQ free before migrating my payroll from Excel?
Yes. The trial is free for 30 days, up to 5 employees and no card, so you can move your data and run the first month in parallel with your spreadsheet to compare results before deciding.
